Last-Minute Change Alerts

No matter how much planning goes into each event, last-minute changes happen. Never miss an update with Last-Minute Change Alerts. Choose the time period you consider “last-minute” for a Proposal, then enter any email addresses you want to be notified of the last-minute change.

Kits

Kits are a great way to offer rental packages to your customers. But did you know you can also use Kits for Items with multiple pieces? Your customer will see a beautiful wooden bench, while your crew sees each piece you need to take with you to build that bench. Not to mention, RW will track quantities and usage for each piece. Have a table with different leg heights? Make each version as a Kit!

iOS Delivery Checklists

The process of pulling Items, loading them on the truck, delivering them onsite, packing them up, and placing them back in your warehouse can be tedious and leave room for human error. Help to streamline the delivery process with our iOS Delivery Checklists. Your team can check off each Item as they go, adding notes or pictures where needed. And you can keep an eye on the team’s progress within the desktop version of RW.

Magical Specialized Items

A long list of Items is great for business, but not so easy on the eyes. Organize your Invoices with BOLD HEADING, HEADING, and TEXT Items. These Magical Specialized Items live in your Fees Category and are perfect for noting the location of a setup, special instructions for a lounge, or anything else that would make delivery day smoother. Magical Specialized Items appear on the Invoice PDF and Delivery PDF.

BCC Order History Email Address

The Order History tab keeps track of every change that is made to the Order. It’s also a great place to keep notes and track customer communication. Any time you draft an email to a customer, you’ll want to include the BCC Order History Email Address for their Order. That way, a copy of the email will be included in the Order History tab. It’s much easier to keep track of changes to an Order when everything is noted in one place.

Email Templates

That BCC History Email address is automatically included in any emails you send from within RW Elephant (e.g. Payment Link, Payment Confirmation, Wishlist Submission, etc). You can change the wording of those emails and even create your own automated emails using Email Templates. Let’s say you want to remind your customers to pay their required deposit if they haven’t already. You can create a custom Email Template to be automatically sent to customers with a Proposal that expires in three days, or five days, or whatever timeline works for you.

Subtotaling

If you ever want to display a grouping of Items as one price, Subtotaling is for you. Simply select the Items you’d like in the group, right-click, and create a Subtotal Group. The individual Item prices will be hidden and added together to display as one subtotal amount. Both you and your customers will appreciate a simplified Invoice.

Internal Items

We’ve all been at a delivery and thought, “If only I had brought those ratchet straps,” or “Man, I wish we had some extra cleaning rags on us.” For Items that need to be included in an Order, but don’t need to be seen by the customer, use the Internal Item type. Internal Items are added to Orders just like Rental and Conceptual Items, but they only display on Pull Tickets for you and your crew to see.

Last-Minute Proposal Payments

The timeline from the start of the sales process to the day of the event has severely decreased in the rental industry in the last couple years. Sometimes that 50% deposit is just not feasible, and your Terms & Conditions require you to charge the Full Balance instead. You can automate this process with Last-Minute Proposal Payments.

Collection Activity Metric

In order to grow your event rental business, it’s important to pay attention to your Items’ performance. Those dining chairs that haven’t been rented in a year? Sell them. And use that money to buy more of those lounge sets that are flying off the shelves. But how do you know which Items to liquidate and which to buy more of? The Collection Activity Metric!
