If you use Mac computers at your business we highly recommend using Apple Calendar. It’s really easy to set up, gives you offline access and can be setup to refresh the calendar feed every 5 minutes so you have the most current data.
Google calendar can take up to 24 hours to refresh new calendar events which can become problematic in a fast-paced rental business.
However, nobody knows the ins and outs of your business like you so we definitely want you to use the program the works best for your business.
To set up a calendar subscription in Google Calendar, begin by logging in to your RW Elephant account.
Navigate to the “Account” icon in the upper right corner of your browser window.
Once in your Account, select “Calendar” in the left column.
Use the tick boxes to choose Delivery Orders and/or Will-Call Orders in your calendar. You must include at least one.
Select the Times to include in your calendar subscription. Choose the Event Window, the Delivery Window, and/or the Return Window depending on what works best for you.
Please note that if you would like these different time windows to appear as different calendars, you can choose particular combinations and have multiple links. For instance, if you want your Will-Call Return Windows to be green, you’d choose “Will-Call Invoices” and “Return Window” but nothing else. Once you’ve finished subscribing you can return and create a new calendar for a different combination.
Click the “Copy Calendar Link” button.
Depending on which browser you’re using, the link will then be copied to your clipboard or appear in a pop-up window for you to copy.
Open your Google Calendar.
On the left-hand side, you should see a list of calendars you’ve created.
Next to “Other Calendars” you will see a downward arrow in a box. Click this arrow.
Select on “From URL.”
Paste your RW calendar link in the “URL of calendar” field.
Click “Add Calendar.”
Once it appears, hover over your new calendar in the list.
Click the three dots by your new calendar.
You can change the color of the Calendar and decide to hide or display it in the list.
Select “Settings”.
Here you can change the name of the Calendar, permission settings, notification settings, etc.
It can take up to 24 hours for the calendar to appear.
It also won’t show previous Events so don’t worry if you don’t see those populated.
Please note that only Confirmed Orders will appear on your calendar (not Proposals or Cancelled Orders).
You’re all set. I bet you’re feeling way more organized already. Sweet!
Repeat for additional calendars you’d like to subscribe to.
Also check out RW Planning to see your Orders visually right within your RW Account.
