Rental Order PDFs

You’ve created and saved your very first Order. Way to go! You deserve a pat on the back!

Now you’re ready to see it in tip-top shape on a PDF that you can hand on over to your Client.

In the Order section, with your Order selected in the left column, click on the “Invoice PDF” in the upper right corner of your browser window.

You’ll see a little loading screen while RW Elephant generates your PDF. And then, Voila!

Behold, the wonder that is your Invoice PDF!

Terms & Conditions!

Payment Info!

Line Items!

Totals!

And, wait for it………………….. Images!

You can download this PDF, save it to your computer and rejoice at your cleverness. We suggest that you do this with each of your Orders. That way, if you, for some reason, need to access it somewhere you don’t have an internet connection, you can always see the latest version.

We’ll talk later about how to communicate with your Clients using RW Elephant’s emailing features. But for now, we hope you’ll take a minute to sit and stare at the gorgeousness you’ve created. Bravo!

We also have, not one but two other PDFs for you to enjoy.

The Pull Ticket PDF is another way to see the Order. RWers often use this layout for their Warehouse Crew. It shows the Event Details along with the Order Note and the Internal Order Note.

All Inventory Line Items are included but pricing information isn’t listed. Pull Tickets also group the Line Items by Category then alphabetically so Items are easy to gather from around your warehouse. Conceptual Items and Tax Items are not included on Pull Tickets.

Keep in mind that if you have an Item multiple times on the same Order, you may have multiple Line Item Notes with a particular Item on your Pull Ticket.

The Delivery Ticket PDF is a great tool to give your Delivery Crew to use Onsite at the Event. It includes all Event & Contact Details, Inventory Line Items and Images but doesn’t include pricing information. It is formatted with Items in the Order you chose but breaks down all Kits to show each specific Item. Conceptual Items and Tax Items are not included on Delivery Tickets.

Delivery Tickets also have space for Custom Text at the top and the bottom. This can be a great place for your Client to sign upon receipt of the Order. Then later, they can sign the bottom acknowledging any damages or missing Items at the end of the Event.

To set up your Delivery Ticket Text, navigate to the “Account” icon in the upper right corner of your browser window.

In the left column, select “Terms & Conditions.”

Choose the “Delivery Ticket Text” tab.

Then click the green “Edit” button.

Type or paste the text you’d like to include at the top of the Delivery Ticket and at the bottom of the Delivery Ticket. There isn’t a character limit on these fields but we suggest you keep it under 500 each.

Be sure to include signature lines in each field if you want to have a place for your Client to sign.

Click the green “Save” button when you’re done editing the text.

When you head back to your Order, be sure to click the green “Edit Order” button and then the “Save Order” button before clicking on the “Delivery PDF” button. This will ensure you’re always seeing the most up-to-date version of the Delivery Ticket PDF.

That’s actually the rule-of-thumb to follow with all PDFs within RW Elephant. To make sure you’re always looking at the latest version, be sure to click on the “Edit Order” button then “Save Order” before generating your fun-n-fancy PDFs.
