Hey, Mr. Bigshot! By now, you’ve practically become an RW Elephant guru. You are ready to invite others to experience the marvelousness you’ve discovered. We’re about to show you how to invite New Users within RW Elephant.
Before we do, let’s talk for a sec about User permissions.
Within RW Elephant, each User will be given one of these User roles: Admin (that’s you!), Editor, Reader, Item Editor, or Delivery Crew. Each role has different levels of permissions. Admins can do everything include add Users and make changes to account info. Editors can create Orders and add Items but they can’t change deposit requirements, for instance. Readers can view Orders and generate PDFs but they can’t see Inventory Reports. You can see more about these different roles here.
You must have at least one Admin within your RW Elephant account but you’re not restricted in the other roles. Everyone can be an Admin. Or you can have all Editors and one Admin, etc.
If you need to give access to your RW Elephant account to your bookkeeper or accountant, you can do that with the Accountant role. They can generate Reports and view Items & Orders but they can’t make any changes. An Accountant user doesn’t count against your allowed Users (for instance, if you have the Pachyderm plan, you can have 3 full Users plus someone with Accountant access).
Now let’s send out some invitations and get your whole team on board.
Navigate to the “Users” icon in the upper right corner of your browser window.
To change your own User Information, click on your Username. Click on the “Edit User” button to change your name, username, email address or password. You won’t be able to change your own role since every RW Elephant account must have at least one Admin.
Be sure to click the green “Save User” button when you’re all done making changes.
To invite a New User, click on the “+” button at the top of the left column.
Type the First Name, Last Name, and Email Address of the User.
Choose the Role you want them to have from the “Role” menu.
You can modify the message that will be sent in the invitation they receive or send it as is.
Click on the “Invite User” button and they’ll receive an email invitation.
From their email, they can activate their account, choose a password, and dive right in to their RW Elephant rental adventure.
If you need to edit a User, you can do that from this screen as well.
Click the “Edit User” button to change their info or role.
As an Admin, you can also change Users’ passwords.
To delete a User, select them in the left column, and then click on the “-” button.
Confirm that you’d like to delete the User. They will no longer have access to their RW Elephant account.
